What does an executive assistant actually do for a canine business?
An executive assistant handles the operational and administrative layer of your business so you can focus on your clients and your practice. For canine professionals that means managing your inbox and enquiries, coordinating your diary, following up on outstanding invoices, building courses and webinars, setting up systems and workflows, handling client communications, coordinating projects, and keeping the day-to-day running smoothly. The difference between an executive assistant and a general VA is the depth of knowledge and the level of involvement. We do not just process tasks. We manage, prioritise, and make decisions on your behalf.
How do I know if I need an executive assistant?
If you are replying to messages at 10pm, missing days off, letting enquiries slip because your inbox is unmanaged, or spending evenings on admin instead of rest, it is worth looking at support. The same applies if you have a course, resource, or system you have been meaning to build for months but cannot find the time. Most of our clients come to us when the operational load has genuinely outgrown what one person can hold.
Do you work with clients outside the UK?
Yes. We work with canine professionals across the UK, USA, and internationally. Time zone differences are manageable and we are experienced in supporting clients remotely across different regions. If you are based outside the UK and want to discuss how we can make it work, book a free call and we will talk through the practicalities.
What is AI architecture and do I need it?
AI architecture refers to the design and implementation of AI-powered systems and workflows within your business. This could be an automated client intake process, a custom-trained knowledge base for handling client queries, an AI-assisted communication workflow, or a broader strategy for how AI tools can reduce your operational load. The most important thing to know is that every system we build is trained in your voice, not in generic AI language. We build in safeguards so the output always sounds like you, with your terminology, your standards, and your tone. You will not end up with robot-sounding copy going out under your name. Stef has specialist experience in AI architecture and works with canine businesses to design systems that are practical, relevant, and built to your standards. This service is available for clients in the UK, USA, and internationally.
How will we communicate if we are working remotely?
We adapt to what works for you. Most clients prefer a combination of WhatsApp voice notes for quick updates, email for documents and longer communications, and a monthly video check-in to review priorities and progress. We are responsive, organised, and clear in our communication. You will always know what is happening.
Why choose an executive assistant over a full-time employee?
A full-time employee brings employment responsibilities: PAYE, pension contributions, sick pay, holiday pay, and the time and cost of recruitment. An executive assistant arrangement is far more flexible and cost-effective for most canine businesses. You pay for the support you need, when you need it, with no overhead. You also get specialist knowledge you would be unlikely to find in a generalist hire.
Why choose a retainer package over ad-hoc support?
A retainer gives you guaranteed, consistent support each month. You know exactly what is covered, you can plan ahead, and we get to know your business well enough to work independently and efficiently. Ad-hoc support works well for one-off projects, but for ongoing operational support a retainer is more reliable, better value, and more effective for both sides.
Can you help with a short-term project or one-off task?
Yes. If you have a course that needs building, a system that needs setting up, or a project that has stalled, we offer ad-hoc support at an hourly rate. Availability depends on retainer client commitments, so get in touch and we will confirm what is possible.
I have never worked with an executive assistant before. Where do I start?
Book a free discovery call. We will ask about your current workload, where you are losing time, and what feels most frustrating. From there we will suggest the type of support that makes the most sense for your business. There is no obligation and no pressure.
Do you only work with large businesses?
No. Most of our clients are sole practitioners or small teams, and those are the businesses where strong support makes the most immediate difference. There is no minimum size. If you are running a canine business and the operational load is affecting your work or your wellbeing, we can help.
Will you understand the terminology and specific needs of my industry?
Yes. We work exclusively with canine professionals and understand the jargon, the professional landscape, and the practical realities of the sector. The difference between a behaviour consultation and a group class, the sensitivity of a welfare referral, the specifics of a CPD record, and the context behind a reactive dog enquiry. You will not need to explain your world to us.
What kind of tasks can I delegate?
Replying to client enquiries, managing bookings and waitlists, sending appointment reminders, chasing invoices, creating client handouts and reports, social media scheduling, newsletter management, CPD record organisation, certificate filing, website updates, course and webinar builds, system setup, and project coordination. If you are not sure where to start, bring it to your discovery call and we will work through it together.
Do you help with social media?
Yes. We can schedule posts, organise a content calendar, repurpose existing content, and manage client messages on social platforms. We work with what you already produce to make it go further.
Can you help improve my admin systems and client processes?
Yes, and it is one of the things we are most frequently asked to do. We review your current workflows, identify where time and energy is being lost, and build or suggest tools to make the operational side of your business run more efficiently. Online booking forms, email templates, automated reminders, CRM setup: all done in a canine business context, so you are not starting from scratch.
I have worked with a generalist VA before and it did not work out. Why would this be different?
Because we are not generalists. A generalist VA can process standard admin tasks, but they will need everything explained in detail and will not be able to make judgement calls on your behalf. We understand the canine industry at a professional level, which means less time spent briefing us and more confidence that everything we handle reflects your standards. We do not just clear your task list. We understand the context behind it.
